Features
Five areas. One job each.
Home, Seats, Adoption, Spend and Agents, with settings behind a gear. Everything below is planned for Release 1 in mid January 2027.
Home
A short list of what to do next.
Home replaces a wall of charts with the few things worth doing now. Each card has its cost in pounds and one main button, and only the most important one is marked in coral.
- Idle seats, leavers holding seats, the next renewal and the billing check, in one list
- Every number shows where it came from and how old it is, such as "Microsoft data, 2 days old"
- Estimates are always labelled as estimates
- Follows your SharePoint or Teams theme, in light or dark
Seats
Who holds a seat, and who uses it.
Seats lists every Copilot seat with its holder's department, last Copilot activity and where the licence comes from, priced at your rate. From here you nudge, start a notice, or reassign.
- Idle on your terms: no activity in 28, 60 or 90 days, few active days, or never used
- "Microsoft active" shown next to "your active", so the gap is visible
- Leavers, disabled and non-human accounts still holding seats, on a fast path that is still approved
- Direct, group and dynamic-group licences told apart, so each reclaim is routed correctly
- A seat request queue, so freed seats go to people who asked before you buy more
- Seats used only in Copilot Chat on the web, and seats that cannot work properly, shown on their own
- If your reports hide names, it works with pseudonyms and explains the setting. It never changes it
Adoption
Where Copilot is taking hold.
Adoption shows the share of each department using Copilot in each app, so training and help go where they are needed. It is about groups, never about ranking people.
- By department and by app: Teams, Outlook, Word, Excel, PowerPoint and Chat
- Groups under 10 people hidden, and never below 5
- Time to first use after a seat is assigned, with a nudge in the first fortnight
- A data-quality card for Copilot users with no department or cost centre
- History kept beyond Microsoft's 180 days: 13 months by default, with a delete routine
- A pilot scorecard for a cohort, with go or no-go evidence at cohort level only
Spend
What it costs, at your price.
Spend prices every seat at your contracted rate and keeps the renewal in view. It separates the two kinds of saving, because finance will ask.
- Your price per licence, how you pay, promotion end dates and the step up after
- On bundles, only the Copilot part of the price counts, and duplicate Copilot licences are flagged
- Renewal calendar with alerts at 90 and 30 days and when the seven-day window opens
- The usage-based billing check for Copilot Business
- A planner for the Copilot Business 300-seat ceiling
- Copilot Credits from Microsoft's report, in pounds at the credit price you enter
- Cost by department and cost centre for showback
- An optional "indicative value" note, off by default, by department and never per person
Agents
Which agents are used, and which are not.
Agents shows agent use as Microsoft reports it, with owners, so you can keep the useful ones and retire the rest with the owner's say-so.
- People using each agent, and the agent's owner
- Agents with no use in 90 days, or whose owner has left
- Keep, review or retire, confirmed by the owner
- Agent identities counted apart from people
Microsoft is building in this area too, so the Agents area will be checked against what it announces at Ignite in November before Release 1 ships.
Behind the gear
Settings you set once.
Operational settings live in a list on your site, so they survive page edits and your flows read the same values.

- What idle means28, 60 or 90 days, active days, never used.
- ApprovalsLicence admin always; manager optional.
- Group size and retention10 people and 13 months by default.

- LicenceYour key, and the switch for the daily check-in.

Coming in Release 2
Add-on rightsizing: idle Teams Premium, Visio, Project and Power BI seats, and add-ons you already get in a suite, such as Entra ID P2 or Power BI Pro in E5.
Later, when there is demand: a partner mode for CSPs and MSPs, built on exports from each tenant, never a shared database.
What we will not build
- Read prompts or Copilot responses.
- Meter tokens or claim to show AI spend as it happens. Microsoft owns the meters.
- Score, rank or rate individual people. No leaderboards.
- Remove a licence without notice and a person's approval.
- Change your tenant's setting that hides names in Microsoft's reports.
- Send your usage data to Apps 365 or compare you with other customers.
